Customer Information Features
Job At-a-Glance
What does it do?
Job At-a-Glance allows you to quickly see your customer's upcoming jobs and their job information all from the Customer Information screen.
This is a great tool for when your customer calls. It means you can look them up and see their job history and future in a matter of seconds!

Time-Stamped Notes
What does it do?
The time-stamped notes feature in Scheduling Manager makes it easy to store and maintain a history of all correspondence with your customers. Not only do the notes automatically insert the date and time of the note, but they also automatically insert the author of the note.

Reminders
What does it do?
Allows you to schedule a pop-up alarm which will appear on the date and time that you specify.
You can also specify a particular user you wish the reminder to appear for as well as reschedule it, snooze it or clear it.
You can enter a short description for the reminder as well as a long description.

Job Scheduling Feature
Weekly Dispatch Calendar
What does it do?
The Weekly Dispatch Calendar is one of our newest additions to our suite of Interactive Job Scheduling screens. It still has all the same great features and options of previous interactive calendars, but also allows you to drag and drop jobs to move them, or to “stretch” jobs out to change Start or End times.

Daily Dispatch Calendar
What does it do?
The Daily Dispatch Calendar is one of our newest additions to our suite of Interactive Job Scheduling screens. The Daily Dispatch screen is very similar to the Weekly Dispatch calendar, but instead of displaying the schedule for 1 team at a time, it instead displays jobs for all teams for 1 day at a time, where each team’s jobs appear in a different column. The different layout of this screen makes it ideal for companies with large volumes of jobs.

Availability Calendar
What does it do?
The Availability Calendar allows you to create templates for the availability of your employees. This is a great feature if you have many employees who work part-time, for example, Monday and Tuesday mornings and Wednesday and Friday afternoons. It works in conjunction with the Weekly Dispatch Calendar and the Daily Dispatch Calendar and allows you to view both your availabilities and scheduled jobs at the same time. You can also mark a particular absence for an employee if, for example, they have a doctor appointment and will not be working at a time when they normally would be.

Daily Management Calendar
What does it do?
The Daily Management Calendar is a powerful new tool that contains some exciting new features such as:
• Drag and drop capability.
• “Stretch” jobs to change job times.
• Team members are listed at the top of the screen.
• Used hours and available hours for each team are totaled at the bottom of the screen.
• Select the information you wish to show on the jobs, such as address, city, zip code, charge, etc...
• Select your own colors for each team.
• Shows schedules for all teams.
• Telephone icon indicates customers that require a reminder call. The telephone changes color to indicate whether the call has been made yet.
• Key icon indicates which customers you possess keys for.
• Drag sick or absent employees from the team. If this employee is the team leader (driver), then the other employee in the team is moved to an Unassigned list, where they can be reassigned. In this case the jobs originally scheduled for this team are also moved to the Unassigned list and their length is adjusted to reflect the new number of employees performing the work.
• SMS text message reminders to all customers who require a reminder in a matter of seconds.
   
 
Task Manager
What does it do?
The Task Manager is a new flexible tool in Scheduling Manager that allows you to create rooms for customers if you choose.
The feature also allows you to create templates, for example for a 3-Bedroom 2.5-Bathroom house, that will automatically apply the rooms associated with such a house to the customer.
You are then able to specify tasks to be performed in each room. For example, change bed sheets in the bedroom and mop the floors in the kitchen.
The software also calculates the cost of the job for you based upon the tasks that you select and the size of the rooms.

Accounts Receivable
Credit Card Processing
What does it do?
Process credit cards directly in Scheduling Manager with the Credit Card Processing module. This saves you enormous amounts of time because you no longer have to sit at a terminal and punch in credit card numbers manually. Simply close out jobs in Scheduling Manager and then click a button to batch process all credit card charges for the week (or whatever period you wish). With our credit card processor you are also guaranteed better rates than your current processor, so this feature really saves you money!

Email Job Reminders
What does it do?
It’s easy to email job reminders to your customers in Scheduling Manager.
You can send a personalized email message, which you can type yourself, or you can choose from a number of predefined email messages.

Equipment Manager
Equipment Manager
What does it do?
With the Equipment Manager you can store information regarding various pieces of equipment for your customers and the necessary parts information for the equipment.
This information prints out on work orders for your employees.

Caller ID Module
Phone Log
What does it do?
Information about calls is stored for you automatically in the Phone Log.
You can display the Phone Log at any time, and add a follow-up call record. You can then run a report to show you all follow-up calls needing to be made. This helps you to refine your sales process and also to maintain a high level of customer service, as calls are followed up in a timely manner ensuring customer satisfaction.

Incoming Calls
What does it do?
This Caller-ID and Phone Log Module has proved to be a necessity for larger companies who have reached a certain size and now need to focus heavily on their sales process and methods.
With the Caller-ID Module, incoming calls cause the Phone Activity Log to appear on the screen, which shows the incoming number.
If the number is matched to a number presently in the database, you can click the Go To button and the Scheduling Manager will jump to the customer’s record and information.
